Terms of Service

These terms cover Olbongo Mail — hosted mailboxes on a domain you own. They sit alongside the Olbongo platform terms; where the two differ on anything to do with mail, these apply.

1. What the service is

Olbongo Mail provides mailboxes at addresses on a domain you control — sending, receiving and storing email, reachable through Olbongo webmail and through standard IMAP and SMTP clients. We operate the mail servers, the spam filtering, and the DKIM signing that lets receivers trust your mail.

2. Your domain

You must own, or be authorised to administer, any domain you add. You are responsible for keeping its registration current — if a domain expires, mail to it stops reaching us and we cannot recover messages that were never delivered.

If you choose Olbongo DNS, you delegate the domain’s nameservers to us and we create and maintain its mail records (MX, SPF, DKIM, DMARC). We will not change records unrelated to mail without asking. You can move the domain away at any time; doing so stops mail delivery once the delegation changes.

3. Mailboxes and quota

Your plan sets how many mailboxes you may create and how much storage each one has. The administrator mailbox we create with each domain (used as the catch-all destination) does not count against that allowance.

When a mailbox reaches its storage limit, new mail to it may be refused. We will not silently discard mail we have accepted.

4. Acceptable use

You may not use Olbongo Mail to:

  • send unsolicited bulk email, or any message the recipient did not agree to receive
  • forge headers, impersonate another person or organisation, or send on behalf of a domain you do not control
  • distribute malware, phishing, or content that is unlawful where you or the recipient are
  • resell mailboxes to third parties without a written agreement with us

Mail servers share reputation. Abuse from one customer degrades delivery for every other customer on the same infrastructure, which is why we act on it quickly: we may rate-limit, suspend sending, or suspend an account outright where abuse is ongoing or severe. Where circumstances allow, we tell you first.

5. Deliverability

We publish and maintain the authentication records that give your mail the best chance of being accepted, and we monitor the reputation of our sending addresses. We cannot guarantee delivery: whether a message reaches an inbox, a spam folder, or is rejected is decided by the receiving provider, using signals — including your own sending history — that are outside our control.

6. Payment

Mail plans are billed per mailbox, monthly or yearly, in advance. Payment is by mobile money or the other methods offered at checkout. If a subscription lapses, mailbox creation stops first; existing mailboxes continue to receive mail during a grace period before suspension.

Fees already paid are not refundable except where required by law, or where we have failed to provide the service.

7. Cancelling and your data

You may cancel at any time. On cancellation, mailboxes stop accepting new mail. Existing message content stays available for 30 days so you can export it over IMAP, after which it is deleted and cannot be recovered.

You can export your mail at any time with any standard IMAP client. We do not hold your mail hostage to keep you subscribed.

8. Availability and liability

We work to keep the service running continuously but do not promise uninterrupted availability. Mail is queued and retried on failure rather than dropped. To the extent permitted by law, our liability for any claim relating to Olbongo Mail is limited to the fees you paid for it in the twelve months before the claim.

9. Changes

We may update these terms. For changes that materially reduce what you get, we will give notice to the administrator address on the account before they take effect.
